Terms of use
Last updated 11 October 2026
These terms apply when you use Mile Account. The app is made by Behaviour Digital in the UK ("we", "us"). By creating an account or using the app you agree to them. If you got the app from the App Store, Apple's Licensed Application End User License Agreement also applies; where the two differ on your licence to use the app, Apple's agreement wins.
What Mile Account does
Mile Account helps you record journeys, decide which are business, work out mileage allowances at the rates HMRC publishes, and produce reports you can send to Xero or share with your company. It is a record-keeping tool. It is not tax, legal or accounting advice.
Your responsibilities
- Check your trips. GPS can be inaccurate, and automatic suggestions (such as business or personal, vehicle or work hours) can be wrong. You confirm each trip, and you are responsible for the accuracy of every claim you make.
- Only claim what you're entitled to. Whether a journey counts as business travel, including the rules on ordinary commuting, depends on your circumstances. If you're unsure, ask your employer or an accountant.
- Keep your account secure and tell us if you think someone else has used it.
- Drive safely. Don't use the app while driving; it records in the background so you don't need to.
- Use it lawfully. Don't misuse the service, try to access other people's data, or interfere with how it runs.
Rates and calculations
We use HMRC's published Approved Mileage Allowance Payment rates and advisory electricity rates, and check them regularly. Rates and rules can change, and we can't guarantee the app will always reflect a change immediately. Each report shows the rates it used.
Xero
If you connect Xero, you authorise us to create draft bills, attach report PDFs and read the contacts, accounts and tax rates needed to set this up. We never approve or pay bills; that's done by you or your organisation in Xero. Your use of Xero is governed by Xero's own terms. You can disconnect at any time in the app or in Xero.
Company workspaces
The person who creates a company is its owner. Owners and admins can invite and remove people, review submitted reports, and approve them into the company's Xero organisation. Members choose which finalised reports to submit. The company is responsible for how it uses the reports it receives and for paying any amounts it approves.
Subscriptions
Some features may need a paid subscription. Subscriptions are bought, renewed, cancelled and refunded through your Apple Account, under Apple's terms. A subscription renews automatically unless you cancel at least 24 hours before the end of the current period, in Settings → your name → Subscriptions. Prices are shown in the app before you buy.
A company's Teams plan is bought by its owner at mileaccount.com/team and paid through Stripe, per driver, monthly or yearly, with a minimum of 2 drivers. Every member of the company needs a seat. The owner can change seats, update payment details or cancel at any time from the same page; a cancelled plan runs to the end of the period already paid for.
Your data
Your records belong to you. You can export them or delete your account at any time from the app. How we handle personal information is explained in our privacy policy.
Availability and changes
We work to keep Mile Account running and accurate, but we can't promise it will always be available or free of errors. Your records are kept on your iPhone as well as our servers, so you can keep working offline. We may change or stop features; if we ever close the service we'll give you reasonable notice and a way to export your data.
Liability
Nothing in these terms limits liability that can't legally be limited, such as for death or personal injury caused by negligence, or for fraud. Otherwise, we're not liable for losses that weren't reasonably foreseeable, for business losses (such as lost profits or tax penalties arising from claims you made), or for the actions of Xero, Apple or your employer. Our total liability to you is limited to the amount you paid us in the 12 months before the claim, or £100 if that's more. If you're a consumer, you also have statutory rights that these terms don't affect.
Ending your use
You can stop using Mile Account and delete your account at any time. We may suspend or close an account that seriously or repeatedly breaks these terms, and will tell you why unless the law prevents it.
Changes to these terms
We may update these terms. We'll change the date above, and tell you in the app before a significant change takes effect.
Law
These terms are governed by UK law. If you're a consumer, the law and courts of the part of the UK where you live apply.
